Accessing Legacy Quickbase Data in HubSpot

Access historical optimization notes, order data, and legacy request forms without leaving HubSpot during the Quickbase migration.

Overview

While HubSpot is your primary workspace, legacy Quickbase data remains accessible for reviewing historical information and submitting certain request types during the transition period. This article explains how to access Quickbase data without leaving HubSpot.

From Optimization Projects:

Viewing Legacy Optimization Notes

When you need this: To review optimization work completed before HubSpot implementation

  1. Navigate to your Optimization Project
  2. Click the Quickbase Optimizations tab
  3. Select your department button:
    • View Recent PPC Optimizations (SMB PPC)
    • View Enterprise PPC Search Operations (Enterprise PPC & Retail)
    • View Social Operations (Paid Social)
  4. Review the embedded Quickbase report and/or fields
  5. Click X to close the modal when finished

Important: All new optimization notes should be created on the Project record in HubSpot using the Optimization Notes playbook.


Viewing Order Information

When you need this: To check package details, account numbers, build notes, or historical requests

  1. Navigate to your Optimization Project or Service record
  2. On the Overview tab, scroll to Related Quickbase Order card
  3. Click View next to the information type you need:
    • Quickbase Order - Package, fees, ad spend, etc.
    • Account Numbers & IDs - Platform account identifiers
    • Account Build Notes - Historical build documentation
    • Associated Requests - Previous change requests and help flags
    • All Integration Requests - Data feed and code install history
  4. Review information in the modal view
  5. Click Close when finished

Submitting Quickbase Requests

When you need this: To submit requests that haven't yet migrated to native HubSpot ticketing

From Optimization Projects:

  1. Navigate to your Optimization Project
  2. Click More dropdown in the tab bar
  3. Select Quickbase Requests
  4. Click the button for your request type:
    • Submit New Data Feed Change Request
    • Submit New Data Feed Build Request
    • Submit Code Install Request
    • Submit Billing Request
    • Submit Platform Support Request
  5. Complete the embedded Quickbase form
  6. Click Save to submit

From Service Records:

  1. Navigate to the Service record
  2. Click the Quickbase Requests tab
  3. Follow steps 4-6 above

Note: Check with your Team Lead on whether to use Quickbase forms or native HubSpot tickets, as request types are transitioning to HubSpot.


Common Issues

"The embedded view won't load"

  • Ensure you're logged into Quickbase in another browser tab
  • Refresh the HubSpot page and try again
  • Contact support if views consistently fail

"I can't find the Quickbase Optimizations tab"

  • Check under the More dropdown if tabs are collapsed due to screen size

"Should I use Quickbase or HubSpot for this request?"

  • Ask your Team Lead - request types are transitioning to HubSpot ticketing on different timelines

Legacy data only - Use these access points only for historical information

New work in HubSpot - Create all new optimization notes, tasks, and activities in HubSpot

Transition status varies - Some request types may have already moved to HubSpot ticketing

Both locations available - Quickbase views are accessible from both Project and Service records
